Years ago, and with the luxury of being a software development company, our business developed it's own proprietary, and bespoke, line-of-business management system.
We thought we'd developed the ideal solution, complete with (what we thought then), was an end-to-end business system complete with Business Intelligence.
However, and as we evolved into a professional services agency, our focus shifted from creating software. Our bespoke application became an unsupported and legacy system and we were forced to move to an other business management software platform.
The old way was expensive, didn't suit the specific needs of our business, and worse, we were forced to use spreadsheets to manage disconnected data.
Although we persevered for 4 years, ultimately we had to start again.
In 2012, we migrated our data into our third business management system in 12 years - Accelo.
While we had evaluated a number of other systems, we found Accelo to be an amazing fit with our agency if for no other reason than it's flexibility and comprehensive nature.
No more spreadsheets
Accelo connected our data within a comprehensive and all-in-one Client Relationship Management, Service Ticketing, Project, Contract and Time Tracking management solution.
It ticked our boxes - and some we hadn't considered at the time - allowing unlimited customisation options of (amongst many other things) fields, milestones, work flows and real-time forecasting via scheduling into a complete, connected, data management solution.
Accessible via user friendly apps for Windows and Mac desktops and iOS and Android mobile devices, it suited a dispersed team on the go.
Dealing with change
The beauty of Accelo is it's ability to plant clients, staff and accounting all on the same page, and provides tools for every role of those on your team from managers through to contractors.
But, there were challenges in implementing a new system.
Immediately, the way our team worked had to change. While the system was primarily implemented to hold our client details and assist with project management and tracking, it also gave us greater insight to our profitability and break-down of billable versus non-billable work. We also started to see where work was falling through the cracks without being billed.
People working 7.5 hour days for clients might have only logged an hour or two each day - something that made estimating how long work might take to complete, budgeting and billing very difficult.
Because Accelo tracks everything going on in your business from emails - and the time spent typing them - to post-project support and billing, it gave our business a renewed focus on client relationships and effective utilisation of resources and management of ongoing work. It forced us to change the way we considered time, and look at the most efective ways to get work done for (and yes, bill) clients.
While the transition to Accelo was simple, this cultural change has been quite a process for our business, and goes hand-in-hand with our transition to Big Blue Digital.
Reaping the benefits
With a proven track record of over 6 years in evolution, and used by thousands of companies globally, this cost effective and fully integrated system - compatible with a huge array of popular software systems including Google for Work, Microsoft Office 365, Salesforce and accounting software Quickbooks, Xero and Saasu.
To understand how Accelo has helped Big Blue Digital successfully manage what has now become our mainland of information - and how it lead to an increase in our revenue by 50% - check out the Case Study that Accelo recently published on our business.
We were so impressed with it's success for our business that we became a Certified Partner with Accelo last year.
This partnership - which has seen us walk other businesses through the system and how we use it - has demonstrated our own skills in consulting to business on how they can also reduce waste, improve efficiency and get more productive with the help of technology.
